The solution to email

How can anyone possibly focus on what's important when they get and/or are interrupted under a barrage of hundreds of emails daily? Particularly when most of them really aren't important.

I've struggled with this for some years and have tried this and that. I even tried just leaving my email auto-reply on telling people that I wasn't reading any email until after 6pm, but that didn't really work either As I still had to sort through it.

While I was away on my last trip I was pondering this issue: what email do I REALLY need to read and take action on?

So, when I got back, this is what I did. It works a treat and my inbox currently has just 4 things in it. They are all important and are all things I need to address.

1) Decide who is important enough to interrupt you and affect your daily priorities.

2) Open your digital Address Book and create a group called 'Whitelist'

3) add your important people to your whitelist

4) now go to your email client (I just use apple mail)

5) set up a new folder (I call mine 'Purgatory')

6) now add a rule: if sender isn't in your whitelist, file the email in 'purgatory'

 

Voila! 

 

Your email inbox now magically contains only email from people on your whitelist. And best of all it clears your inbox on your mobile devices beautifully.

 

i check 'purgatory' once a day for anything relevant and occasionally update my whitelist. I've also added another folder and rule so staff email from staff get filtered and filed separately.

 

works a treat.
